About the Role
The Academy Administrator will specialise in administering all matters relating to the teaching and learning activities of the designated qualifications, ensuring effective procedures are documented and adopted for dealing with enquiries, applications, registrations, induction, delegate queries, assessments, delegate support and course moderation.
The post will lead to achieving high-quality and timely service to delegates, tutors, and staff relating to the designated programmes/modules and beyond. The post plays a key role in the development of the CIOB Academy Training Team.
Key Responsibilities will include:
- Manage bookings for courses and qualifications, ensuring accurate data input and delegate communication.
- Organise, schedule, and facilitate online webinars and learning sessions in collaboration with tutors and learners.
- Act as the first point of contact via phone and email, handling delegate enquiries and providing accurate course and qualification information.
- Monitor and manage the Academy’s shared inbox, responding and escalating queries as needed.
- Onboard new delegates, including registrations, inductions, and LMS access setup.
- Maintain programme trackers and upload learning resources and assessment feedback to Moodle.
- Process registrations, certifications, and assessments in line with awarding body and Ofqual requirements.
- Coordinate administrative tasks for course launches and closures, including updating internal systems and the Academy website.
About You
The ideal candidate will hold the following skills and/ or experience:
- Excellent IT proficiency (MS Word, Excel, Outlook) and familiarity with CRM and data entry systems.
- Strong administrative experience within an academic, training, or professional development environment.
- Experience with managing course bookings, handling inbound calls, and responding to delegate queries.
- Skilled in webinar setup and delivery (e.g., Microsoft Teams, Zoom).
- Experience using Learning Management Systems (e.g., Moodle) and managing shared mailboxes.
- Excellent written and verbal communication skills with a high standard of customer service.
- Strong attention to detail, problem-solving skills, and the ability to prioritise competing demands.
- Experience maintaining compliance-related documentation and handling confidential information in line with GDPR.
- Familiarity with Ofqual-regulated qualifications and working with awarding organisations.
