Description

As a dynamic and growing accountancy firm with over 1,000 employees, we are seeking a Reception & Office Support to join our group-wide business support team, on a part-time basis (8.30am-5.30pm on Thursdays and Fridays).

Your role will involve being the first point of contact for clients and visitors, managing the reception area, overseeing meeting rooms, arranging refreshments, and ensuring the smooth and professional operation of office and reception support services.

Key Responsibilities

  • Welcoming visitors (both internal and external) to the office in a friendly and professional manner.
  • Taking and forwarding on messages.
  • Assisting and facilitating meetings rooms, including arranging refreshments.
  • From time to time, you will be required to monitor emails, and action when required.
  • Managing the tidiness of the reception and office – including clearing away post meetings.
  • Ordering of supplies as needed included kitchen supplies and stationery.
  • Where required, monitoring petty cash.
  • Maintaining signing in and out sheets/systems and where relevant parking lists.
  • Managing and distributing incoming deliveries, ensuring any reoccurring deliveries are adjusted when required (eg cancelling milk deliveries during periods of office closedown).
  • Managing any access systems to the office, including access passes where required.
  • Monitoring and maintaining the office kitchen, ensuring it is kept clean and tidy.
  • Dealing with incoming and outgoing post (inc maintaining and using franking machine) in line with agreed procedures.
  • Photocopying, printing, scanning, binding and filing (both electronic and paper based) of documents in line with Dains data protection guidelines.
  • Supporting the wider office with admin duties as required based on the needs of the office, which can include but is not limited to the below:
    • Liaison with external stakeholders including, sending, requesting and chasing of required documentation and information.
    • Where required, support the office with client take on activity, utilising systems such as CCH and DocuSign.

Skills, Knowledge and Expertise

  • Education: 5 GCSE’s Grade C and above or equivalent including Maths and English.
  • Communication Skills: Able to maintain a friendly and approachable manner with both colleagues and clients, exercising diplomacy in all interactions. You will have good strong written and verbal communication skills.
  • Task Prioritisation/Management: With a varied and multi demanding role, you will need to have to ability to manage multiple demands and deadlines.
  • Personal Attributes: You must have a naturally calm and unflappable nature with a willing and support approach to the wider business support team.
  • Technical Skills: You must possess a good understanding of Microsoft Word including Excel, PowerPoint, and Outlook. Have the ability to understand and / or learn how to use the telecommunications system.
