Role Description
A varied role to provide proactive, efficient, accurate and timely administrative support to members of the Executive Team, having experience in using a variety of office software (email tools, spreadsheets and databases) to support these duties.
Principal Accountabilities
- To support the CEO, CFO and GC in their day-to-day activities, including schedule management, the preparation of correspondence and other documentation to support the day-to-day operation of the business.
- Scheduling meetings both internal and external as required and providing support to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.
- Supporting members of the Executive Team with travel/diary management, finding ways to enable the Executive Team to focus on their core roles.
- Liaises with the Chairman and Non-Executive Directors to schedule Board meetings, and takes minutes for Board and Executive Committee meetings.
- Promoting Allica’s culture and bringing new ideas to the team.
- Liaising and working alongside Allica colleagues to ensure customer or colleague outcomes are effectively handled.
- Ensuring compliance with all applicable policies, operating procedures and internal controls.
- Establishing and actively managing a personal development plan.
- To deputise to the other Executive Assistants in their absence or as required.
Personal Attributes & Experience
- Proven experience as an Executive Assistant or Administrative Assistant
- Proficiency in MS Office (MS Word, PowerPoint and MS Outlook, in particular)
- Excellent time management skills and ability to multi-task and prioritise work
- Attention to detail and problem-solving skills
- Excellent written and verbal communication skills
- Strong organisational and planning skills in a fast-paced environment
- A creative mind with an ability to suggest improvements
- A team player who is a good cultural fit with Allica’s values.
- Proven ability to deliver exceptional service to both colleagues and customers.
