The shift pattern for this position is 9am-5pm.
Job Purpose: Are you an experienced and highly organised professional looking to make a significant impact within a dynamic healthcare environment? We are seeking a dedicated Personal Assistant (PA) to provide confidential and efficient administrative support to the AHP Director and the Corporate Management Team within Corporate Services. This role is pivotal in ensuring the smooth operation of our administrative functions and contributing to the overall effectiveness and performance of the NHS Greater Glasgow and Clyde Board.
Key Responsibilities:
- Provide high-quality personal assistance to the AHP Director and Corporate Management Team members.
- Act as the first point of contact for the AHP Director and Corporate Management Team, handling sensitive and high-profile information with professionalism.
- Manage and prioritise incoming and outgoing correspondence, telephone calls, and face-to-face enquiries.
- Efficiently manage diaries, schedule meetings, and ensure the AHP Director and Corporate Team are well-prepared with relevant papers.
- Assist in arranging meetings, events, and conferences, including booking venues, notifying participants, and preparing agendas and minutes.
- Process various documents, including correspondence, reports, and presentations, with a high degree of accuracy.
- Support recruitment processes, including arranging interviews and processing paperwork for new staff.
- Maintain and update filing systems, attendance records, and travel expenses for the AHP Director and Corporate Team.
- Build collaborative relationships with internal and external stakeholders, promoting a positive image of the organisation.
