Are you highly organised, proactive and confident managing multiple priorities? Do you enjoy keeping things moving, following up on actions and ensuring customers receive an excellent service?
We’re looking for a Rail Sales Coordinator to join our Rail team at our Head Office in Clacton-on-Sea, Essex.
This is an important role supporting our commercial activity, coordinating customer enquiries, managing sales opportunities and ensuring nothing gets missed. You’ll take ownership of the day-to-day coordination of our Rail sales pipeline, helping maintain accurate CRM records, monitor follow-ups, prepare quotations and provide valuable reporting to support business growth.
Working closely with the Rail team and other internal departments, you’ll help improve visibility of sales opportunities, streamline processes and ensure customers receive timely, professional responses.
This is an excellent opportunity for someone who enjoys taking responsibility, working with data and people, and making a real difference to how a commercial team operates.
What you’ll be doing
- Managing customer enquiries: Monitor the shared Rail inbox and incoming calls, assess enquiries and direct opportunities to the appropriate team members.
- Coordinating sales opportunities: Track follow-ups, allocate actions, set reminders and escalate overdue activities to keep opportunities progressing.
- Maintaining CRM accuracy: Keep customer, project and opportunity records up to date, including sales stages, values, expected close dates and next steps.
- Reporting and analysis: Maintain sales dashboards, opportunity reports, product application data and KPI information to support weekly sales meetings and forecasting.
- Supporting quotations: Prepare standard quotations and assist the Rail sales team with quotation documentation and customer responses.
- Improving customer communication: Maintain product information, standard response templates and supporting documentation to help the team respond consistently and efficiently.
- Coordinating meetings and actions: Arrange meetings, record agreed actions and ensure follow-ups are completed.
- Working collaboratively: Liaise with Order Management and other internal departments to ensure accurate information is transferred as sales opportunities progress into orders.
- Driving continuous improvement: Identify ways to improve commercial processes, reporting and customer response times.
What we’re looking for
We’re looking for someone who is organised, dependable and proactive, with the confidence to take ownership of tasks and see them through to completion.
You’ll Ideally Have
- Strong organisational skills and excellent attention to detail.
- The ability to manage multiple priorities, deadlines and follow-up actions effectively.
- Confident written and verbal communication skills, with a professional and customer-focused approach.
- The initiative to identify outstanding actions, resolve issues and keep work progressing.
- Experience using CRM systems; Salesforce experience would be an advantage.
- Confidence working with data, dashboards, reports and commercial information.
- Good working knowledge of Microsoft Outlook, Excel, Word and PowerPoint.
- The ability to work independently while collaborating effectively with colleagues across different teams.
- Sound judgement when reviewing enquiries, prioritising tasks and allocating opportunities.
- A positive, flexible attitude and a strong sense of personal responsibility.
Previous experience in sales coordination, sales operations, commercial administration, customer service or a similar role would be beneficial.
Experience in rail, construction, infrastructure or a technical product environment would also be advantageous, but industry experience is not essential. We’re keen to hear from candidates who are motivated to learn, develop their product knowledge and grow with the team.
