Project Coordinator
Role Overview
As a Project Coordinator, you will play a key role in the successful delivery of installation projects from initial planning through to completion.
Working closely with customers, technicians, subcontractors, suppliers and internal teams, you will coordinate resources, equipment, schedules and project administration to ensure projects are delivered safely, efficiently, on time and within agreed financial and operational targets.
You will act as a central point of contact throughout the project lifecycle, building strong relationships, providing clear updates and ensuring a seamless customer experience.
We are looking for a proactive, organised and customer-focused individual with experience in internal project management, resource allocation and project planning. You will be confident managing competing priorities in a fast-paced environment, working independently and using your initiative while maintaining accuracy and integrity.
Key Responsibilities
- Coordinate installation projects from planning through to completion, ensuring projects remain on schedule and within agreed targets.
- Plan and allocate technicians, subcontractors, equipment and other resources effectively.
- Build and maintain strong relationships with subcontractors, obtaining quotations and coordinating works.
- Schedule works and monitor technicians and subcontractors to ensure projects meet specifications, timelines and financial targets.
- Act as a key point of contact for customers, managing bookings, updates and queries throughout the project.
- Liaise with the Supply Chain team to ensure equipment and materials are organised and available on time and within budget.
- Prepare project RAMS (Risk Assessments and Method Statements) prior to works commencing.
- Complete O&M Manuals and other project documentation following completion.
- Support the Installation Manager with invoicing, financial forecasting and monitoring project costs.
- Maintain accurate project records and complete all required project administration.
- Work closely with Sales Account Managers and the wider Installation Team to support the successful delivery of projects.
- Manage incoming customer and internal communications, including emails and telephone calls.
- Administer job reports and paperwork received from field technicians.
- Proactively identify and address issues that may impact project delivery.
Essential Experience & Skills
- Previous experience in internal project management, project coordination or a similar role.
- Proven experience of resource allocation, scheduling and project planning.
- Excellent organisational and time-management skills, with the ability to manage multiple projects and competing priorities.
- Strong customer service and communication skills, both verbal and written.
- Excellent attention to detail and a logical, structured approach to work.
- Ability to work independently, take ownership and use initiative.
- Good working knowledge of Microsoft Office, particularly Outlook, Word and Excel.
- Confidence using internal systems, with the ability to learn new software and processes quickly.
- Excellent geographical knowledge to support effective scheduling.
- Good spoken and written English.
- High levels of professionalism, accuracy and integrity.
Desirable
- Experience within the Fire & Security industry or a related technical installation environment.
- Experience coordinating technicians, subcontractors and field-based teams.
- Experience with project financial administration, invoicing or forecasting.
