About the Role

We have an opportunity for a proactive and detail-oriented Fleet Coordinator to join our engineering team at Preston Bus. This role is central to ensuring our fleet operates safe, legal and compliant in line with DVSA and company policies. You will play a key part in supporting the engineering & operations departments by managing vehicle schedules, vehicle maintenance records and communicating with key stakeholders.

Working Hours

Monday - Friday, 40 hours per week

Base – Preston Depot, 221 Deepdale Road, Preston, PR1 6NY

This position may involve some travel between our Eccles and Bolton locations and to cover some tasks at these sites in the case of holidays/sickness

Responsibilities

  • Plan & coordinate vehicle inspection schedules ensuring compliance with the Public Service Vehicle Operators Licence, updating electronic maintenance systems accordingly.
  • Plan & coordinate vehicle service cycle schedules ensuring compliance with company procedure, update electronic maintenance systems accordingly.
  • Plan & coordinate vehicle MOT testing schedules, update electronic maintenance systems accordingly.
  • Responsible for the maintenance of vehicle records both electronically and physically ensuring any changes are updated.
  • Responsible for taxing vehicles
  • Responsible for communicating any vehicle movements and updating vehicle records.
  • Liaise with engineering & operation teams, drivers, and external suppliers and contractors to resolve vehicle issues quickly.
  • Maintain accurate records of vehicle usage, mileage, fuel, defects, and downtime.
  • Support health & safety standards, ensuring all vehicles meet DVSA and company compliance requirements.
  • Assist with accident reporting, insurance claims, and defect reporting processes including vehicle defect cards.
  • Logging and sending vehicle oil samples for examination in accordance with the service cycle
  • Provide regular reports to management on fleet performance, availability, and costs.
  • Support the Engineering Manager with all the above and employee relation matters.
  • Responsible for collating and processing weekly pay information for payroll and dealing with any queries.
  • Responsible for collating documentation and recording of vehicle cleans.

Experience

  • Previous experience in fleet coordination, transport operations, or a similar role (bus/coach industry experience desirable)
  • Strong organisational skills with the ability to manage multiple priorities
  • Good working knowledge of transport compliance (DVSA, OCRS, maintenance standards) with an attention to detail
  • Excellent communication skills, with an ability to liaise effectively with engineers, drivers and management
  • IT literate with experience using fleet/transport management systems and MS Office
  • A problem solver with a proactive approach to challenges and a can-do attitude

Pay: £31,000.00 per year
