Milk Education is currently recruiting for an experienced and highly organised Deputy Office Manager to join a Secondary School in Gateshead.

This is an excellent opportunity for an experienced school administrator to support the Office Manager with the day-to-day operation and coordination of the school's finance, administration, HR, and personnel functions.

The successful candidate will play an important role in ensuring the school's financial systems and administrative procedures are managed accurately, efficiently, and in line with relevant regulations and school policies.

We're Looking For Someone Who Has:

  • Previous experience in school administration or a similar office-based role.
  • Experience managing financial administration and processing transactions
  • Strong organisational and time-management skills
  • Excellent attention to detail and accuracy
  • Experience handling confidential financial and personnel information
  • Strong IT skills and experience using financial or administrative systems
  • Excellent communication and interpersonal skills
  • The ability to work independently and support a wider office team
  • A professional, proactive, and reliable approach

Key Responsibilities

  • Support the Office Manager with the day-to-day operation of the school's administration functions
  • Maintain accurate staff absence, holiday, personnel, and HR records
  • Support the preparation and submission of workforce census information and staff salary review documentation
  • Assist with financial year-end processes, audits, and compliance requirements
  • Support the management of GDPR records, including data breach logs
  • Manage and monitor insurance claims.
  • Provide administrative support to the Headteacher, Deputy Headteacher, and Senior Leadership Team
  • Support reception and general office duties as required.
  • Assist with orders, invoices, BACS runs, and financial reporting
  • Ensure school financial and administrative procedures are followed accurately and consistently
  • Maintain confidentiality when handling sensitive financial, staff, and personal information
