Job Overview
The Food Order Coordinator will support the Assistant Catering Manager, Production Kitchen Manager and Duty Chefs with the organisation and maintenance of paperwork, digital records, staff files and the administration of catering software and IT systems.
The role is responsible for coordinating and administering patient meal services, including managing bedside meal ordering systems, monitoring patient meal orders, ensuring production timelines are achieved, printing and organising meal tickets, and supporting the safe and timely dispatch of food to wards.
Acting as a central point of communication during meal services, the Food Order Coordinator will respond to ward queries, manage dietary amendments and urgent requests, and maintain accurate service and recharge records.
The role also ensures that all paperwork and digital records are completed accurately and on time, in line with Trust catering policy and the Quality Management System (ISO 9001).
Main duties of the job
- Daily operational management of the MenuMate bedside ordering platform, ensuring accurate menu data is available to wards and that patient meal orders are monitored, completed and communicated effectively during meal service.
- Responsible for manually inputting any patient orders into our Menumark Software in a timely manner and relaying any information to the Duty Chefs.
- Monitor all patient meal orders received via MenuMate and proactively chase any late or outstanding orders with wards using tablet devices or telephone contact.
- Print, organise and accurately separate patient meal tickets to ensure correct production, picking and loading of food trolleys.
- Distribute meal tickets to portering staff to support the timely delivery of meals to wards.
- Act as the main point of contact during meal service for ward telephone calls, dietary amendments and urgent requests.
- Record and maintain an accurate log of meal service call-backs, amendments and dietary requests in line with departmental procedures.
- Liaise with Duty Chefs and production teams to ensure completion of orders and communicate any urgent dietary or allergen-related changes.

Knowledge
Essential criteria
- Good knowledge of IT systems, software and hardware including Microsoft Word & Microsoft Excel
- Good understanding of food compliance, health and safety issues.
Desirable criteria
- Previous experience of catering software
- Experience of catering compliance and health & safety guidelines
Qualifications And Training
Essential criteria
- Good general education at GCSE level
- Ability to maintain accurate service logs and records
Desirable criteria
- A-C Maths, English & ICT
- Understanding of dietary requirements and allergen awareness within a catering environment.
