Patient Services Administrator (Independent Contractor)

Location: Hybrid (Remote with occasional attendance at Kiam Clinic, Epsom, Surrey)

Expected Commitment: Approximately 7- 14 hours per week. This will increase subject to mutual agreement.

Contract: Independent Contractor (Self-Employed)

Hourly Rate: Competitive, dependent on experience.

Kiam Clinic is a CQC-registered private mental health clinic based in Epsom, providing high-quality psychiatric, psychological and counselling services, including specialist Adult ADHD assessments. We are committed to delivering professional, compassionate and patient-centred care.

We are looking for a reliable and organised Patient Services Administrator to support our growing team. This is an excellent opportunity for someone with strong administrative and communication skills who enjoys working in a healthcare environment.

Key Responsibilities

• Communicate professionally with patients by telephone and email.

• Arrange, confirm and reschedule appointments.

• Send registration forms, questionnaires and consent documents.

• Prepare draft administrative correspondence and GP letters for clinician review.

• Organise and maintain electronic patient records.

• Liaise with GP surgeries and other healthcare providers where appropriate.

• Support clinicians with day-to-day administrative tasks.

• Maintain strict confidentiality and comply with data protection requirements.

Essential Requirements

• Excellent written and spoken English.

• Strong organisational and administrative skills.

• Excellent communication and interpersonal skills.

• High level of accuracy and attention to detail.

• Confident using Microsoft Office and web-based systems.

• Ability to work independently and manage workload effectively.

• Right to work in the UK.

Desirable

• Previous experience in a healthcare or medical administration role.

• Experience using practice management or electronic patient record systems.

• Understanding of confidentiality and UK GDPR principles.
