We have a fantastic opportunity for a Business Assistant to join our team within the Directorate of Mental Health.

This role includes the cover for two different teams which collaborate.

This role is ideal for someone who is organised, proactive and able to work confidently within a small, supportive multidisciplinary team.

This is full time role, 37.5 hours per week Monday to Friday and include two days of working from Gwendolen House and three days remote working.

Community Enhancement Rehabilitation Team (CERT)

Team focuses on restoring independence , preventing hospital readmission. A community-based strategy that delivers rehab, equalization of opportunities, and social inclusion for individuals with complex health needs, disabilities, or injuries.

CERT Team is based in General Hospital Site (Gwendolen House) and this role will cover two working days of support for this team in that location.

Service operate Monday to Friday 9 am 5pm but support for this team is expected for 2 days - Thursday and Friday.

As a Business Administrator for CERT, you would be expected to send letters out in varied communication channels, minute multidisciplinary meetings and medical reviews, be vital part of referrals monitoring and progressing and maintain the ordering systems and support data quality Individual Placement Team (IPT)

The Individual Placement Team (IPT) is a small, friendly and highly collaborative team within the Rehabilitation Pathway at LPT. The team consists of two Case Managers, a Matron, a Clinical Lead (Psychologist), a Consultant and a Business Administrator.

IPT’s core purpose is to provide specialist case management for LPT service users with a primary diagnosis of mental illness whose treatment needs cannot be met within standard LPT services. The team sources Alternative Hospital Placements (AHPs) and undertakes regular face to face reviews to monitor progress, assess therapeutic benefit and ensure placements remain appropriate.

A significant part of IPT’s work also involves planning and coordinating safe discharge and repatriation. In addition, the team provides a triage and support function for service users currently in LPT beds who present with complex needs.

Job Description Summary (Main Duties And Responsibilities)

As a Business Assistant, you will be required to attend meeting, taking minutes/notes of the meeting, circulating documentation including identifying actions ensuring they are logged, prioritised, and are followed up.

You will be planning and organising training, appointments and events which will include co-ordinating travel arrangements and guest speakers.

You will undertake diary management for yourself, and others and you will communicate effectively via email, including implementing a

flagging/prioritisation system.

You will be creating and formatting professional communications, such as letters, leaflets, presentations, reports and briefings to a high standard.

You will be ordering goods or services, monitoring progress of orders, checking receipt of goods or services to ensure invoices can be reconciled.

You will be dealing with complaints and using your own initiative to solve problems and escalating where necessary.
