Hard Facilities Administrator (Part time)

About The Role

We are looking for a Hard Facilities Administrator to join our Facilities team based at our Quorum office in Newcastle. This is a part-time role, working 25 hours per week, with flexibility to spread those hours across either 4 or 5 days.

As a Hard Facilities Administrator, you will support the Senior Hard Facilities Manager and Hard Facilities Management Coordinator in the delivery of maintenance activities and project works across the Balfour Beatty estate. Hard Facilities Management covers the maintenance and operation of essential building services, helping to ensure our workplaces remain safe, compliant and operational.

What you'll be doing

  • To assist and support Senior Hard Facilities Manager and Hard Facilities Management Coordinator as required, this is office based with a potential to attend site to gain a better understanding of site-specific requirements.
  • Updating and monitoring FM & Project trackers ensuring records are kept up to date and documents are accurately filed in the relevant SharePoint file.
  • Collation of data for appropriate reporting for meetings to support the Senior Hard Facilities Manager
  • Logging, triaging and co-ordinating any reactive requests on in-house system to internal FM team
  • Liaising with external contractors for any outsourcing of PPM’s or reactive maintenance/repairs as necessary
  • Assist with the arrangements of the internal resource planner for in- house FM Team.
  • Ordering of goods & services on in house system
  • Hire & off hire of plant and equipment.
  • Invoicing & receipting of purchase orders
  • Provide an excellent standard of customer service and build relationships within the Permanent office estate and Project site locations, working collaboratively with all stakeholders to increase Property compliance levels. Working with field engineers, site managers and HSES teams.
  • Perform various administrative tasks effectively, efficiently and to a high standard, supporting the Senior Hard Facilities Manager & the wider team

Who we're looking for

  • Excellent organisation, prioritisation and time management skills and strong attention to detail for meticulous record keeping; providing support working in a fast-paced environment to meet targets and deadlines.
  • Strong communication and relationship skills.
  • Excellent IT skills, confident using Microsoft office packages (Outlook, Word, Excel).
  • Excellent team player with the ability to work on own initiative.
  • Experience of working in Facilities Management.
  • Compliance/maintenance knowledge would be desirable but not essential. Training will be provided to broaden technical knowledge.
  • Opportunity to develop career in facilities management
  • Full clean driving licence would be desirable but not essential.
  • Hours of work are negotiable but 5 days a week on site is preferred (25 hrs per week)
