Job Overview

To provide comprehensive secretarial and administrative support to the Consultant Psychiatrists, Service Managers and Medical Staff and to provide support and cover for colleagues in response to service needs.

This post is secondment for 12 months to meet the needs of the service.

Main duties of the job

To complete all secretarial work in a timely and efficient manner, as requested by the Consultant Psychiatrists, other medical staff, and Clinical Team Managers. This will include audio-typing, word processing and data entry.

  • To maintain the diaries of the Medical Team and the Clinical Team Managers, ensuring that they can be contacted at all times on urgent matters.
  • To assist in the organisation of the Consultant’s and Clinical Team Manager’s clinical managerial responsibilities and in the administration of the department.
  • To maintain an effective filing system, and to file papers into health records as appropriate, in accordance with the health record keeping standards.
  • To assist Consultants with the provision of information and administrative support for clinical and medical audit activity.
  • To ensure the efficient input of data onto the service prescribing database in order to produce prescriptions, and the printing of same. To include the accurate recording of all prescriptions for sending to relevant pharmacies.
  • To assist in the training and development of other secretarial and administrative staff, as required by the Service Administration Manager.
  • To undertake other relevant duties as required by the Service Administration Manager. This may include specific projects and tasks directly related to the work of the Division.

Qualifications & Knowledge

Essential criteria

  • English Language GCSE `O` level or equivalent. Knowledge of secretarial procedures and systems, the majority of which are non-routine, acquired through training and experience to Vocational Level 3 or equivalent; PLUS knowledge of specialist medical/ terms, organisational policies and procedures and knowledge and experience to deal with non-routine issues such as problem solving for an area of work or developing alternative or additional procedures equivalent to Diploma level knowledge and experience Advanced keyboard skills RSA 11/111 Typing or equivalent demonstrable level of skill
  • Previous experience of working as Secretary

  • Studying toward Medical Secretarial Qualification
  • NHS experience and experience of working as a Medical Secretary
