About Debbie's Villas
Debbie's Villas is a well-established and highly regarded villa holiday specialist, helping customers create unforgettable holidays in some of the most beautiful destinations across Europe and beyond. We pride ourselves on offering carefully selected villas, exceptional customer service, and expert knowledge built up over many years in the travel industry.
As an independent, family-run business, we are passionate about delivering a personal service and building lasting relationships with both our customers and villa owners. Our team is friendly, supportive, and committed to ensuring every booking runs smoothly from enquiry through to return home.
We are now looking for an experienced Accounts & Business Administrator to join our team and play a key role in supporting the financial and operational success of the business.
About the Role
This is a key position within Debbie's Villas, with responsibility for the day-to-day financial administration of the business. The role centres on maintaining accurate financial records in QuickBooks, processing supplier payments, managing customer refunds, reconciling accounts, and ensuring the smooth running of our financial systems.
Alongside the accounts function, the successful candidate will help maintain company databases and support a range of administrative and operational tasks across the business.
We are looking for someone who is already confident and experienced in using QuickBooks and can take ownership of these responsibilities from day one. This is not a trainee position and we are not seeking candidates with only a basic understanding of accounting software.
Key Responsibilities
- Manage day-to-day bookkeeping activities using QuickBooks.
- Process supplier invoices and arrange timely payments.
- Reconcile bank accounts and supplier statements.
- Process customer refunds and payment adjustments.
- Maintain accurate financial records and ensure data integrity.
- Produce financial and management reports as required.
- Monitor and investigate account discrepancies.
- Maintain and update company databases and internal systems.
- Liaise with suppliers, villa owners, customers, and colleagues regarding account queries.
- Support operational and administrative processes across the business.
- Ensure records remain accurate, organised, and up to date.
Essential Requirements
- Proven, hands-on experience using QuickBooks in a business environment.
- Ability to independently manage supplier payments, customer refunds, reconciliations, and day-to-day bookkeeping tasks within QuickBooks.
- Previous experience in bookkeeping, accounts administration, or a similar finance role.
- Strong understanding of bookkeeping principles and financial record keeping.
- Experience reconciling bank accounts and investigating discrepancies.
- Excellent attention to detail and accuracy.
- Strong Microsoft Excel and Microsoft Office skills.
- Ability to work independently, prioritise workload, and meet deadlines.
- Strong communication and organisational skills.
Desirable Skills & Experience
- Experience within the travel, tourism, holiday rental, or hospitality sector.
- Knowledge of reservation or booking systems.
- AAT qualification or equivalent bookkeeping experience.
- Experience working with business databases and CRM systems.
- Experience handling customer payments and refunds.
Personal Attributes
- Trustworthy and dependable.
- Highly organised and methodical.
- Comfortable taking ownership of key financial processes.
- Proactive and able to work independently.
- Positive, flexible, and willing to support a small team.
- Strong customer-service mindset.
Important
Extensive practical experience with QuickBooks is essential for this role. Applicants should be comfortable using QuickBooks on a daily basis and able to demonstrate previous responsibility for managing company accounts within the system. Applications from candidates with only limited exposure to QuickBooks or a theoretical understanding of the software are unlikely to be suitable.
What We Offer
- The opportunity to join a respected and successful travel business.
- A friendly, supportive, and close-knit team environment.
- A varied role with genuine responsibility and autonomy.
- Flexible working arrangements where appropriate.
- The chance to help customers enjoy memorable villa holidays year after year.
