FTE Salary Range: NJC Grade D Pt 8 - 14; £26,824 - £29,540

Actual Salary Range:£10,322 - £11,367

Contract Type: Permanent, part time, term time only (39 weeks per year)

Contract Hours: 16 hrs per week,

Job Purpose

Responsible to the Operations Manager the Alternative Provision Administrator works as part of a small team of teachers and teaching assistants at the ACE Schools site for pupils with complex needs including social and emotional difficulties, with at times challenging behaviour to ensure the smooth running of the base covering all administration and some reception, finance and compliance duties.

We are looking for an ambitious and motivated person who will join our team and make the role their own and have a positive impact on the administration of this site.

Candidates should have experience of working within a busy school environment and the skills, knowledge and experience of dealing with a range of challenges relating to administration, finance, estates, health and safety and compliance.

The person should have excellent communication skills and attention to detail as the area administrator will be the main contact point between the site and the Trust Estates team. They will need to be able to manage their time effectively and manage staff, contractors and issues remotely.

General Duties

  • School Administration - Supporting the efficient running of the school base by providing administrative support for the Head of Provision, Lead Teacher and Pastoral staff including, review day and other letters, filing, shredding and data entry, answering routine telephone calls and face to face enquiries, being the first point of contact for visitors and deliveries, helping the base staff with general HR queries, printing and resources.

    Estates Compliance Support- managing the administration of health and safety and building matters to include reporting repairs, arranging for routine compliance checks to be completed, programming new ID cards, point of contact for caretaker and contractors, management of online compliance logs, first aid stock, Compliance posters on site.

  • Financial/Purchasing administration - processing orders and invoices using the school online financial systems, managing goods receipts, liaising with the Trust finance team.

  • Exams administration support - liaising with the exams officer to ensure compliance with receipt, handling, storage and dispatch of exams materials.

  • HR functions- responsible for validating new supply and contract staff documentation as part of the onboarding process and work with the Operations Manager to ensure all HR compliance activities are completed in line with recruitment policies. Liaising with supply agencies and managing booking and expenses for agency staff.
