We’re looking for an HGV Scheduling Coordinator to play a vital role in ensuring our fleet remains fully compliant, operational and audit-ready. This is a high-impact role where your planning, communication and attention to detail directly support safe and efficient operations.

What you'll be doing

  • Plan and schedule HGV maintenance, inspections and testing in line with compliance deadlines and workshop capacity
  • Coordinate bookings with depots, drivers and operational teams, ensuring clear and timely communication
  • Manage fleet compliance systems, keeping all records accurate, audit-ready and up to date
  • Monitor daily dashboards, identifying risks such as overdue inspections or missed appointments
  • Chase and liaise with workshops and suppliers to secure bookings, results and documentation
  • Quickly resolve cancellations, no-shows and failed inspections, ensuring prompt rebooking
  • Support reducing vehicle downtime (VOR) through proactive planning and scheduling
  • Maintain robust audit trails aligned with DVSA, ISO and company standards
  • Escalate compliance risks and work closely with operational teams to protect fleet legality
  • Contribute to continuous improvement within fleet compliance processes

Who we're looking for

Essential

  • Strong organisational and scheduling skills
  • Excellent communication and stakeholder management
  • Ability to manage multiple priorities in a fast-paced environment
  • Confident using systems such as Outlook and Excel
  • A proactive, solutions-focused mindset

Desirable

  • Understanding of HGV or fleet compliance (DVSA, PMI cycles, tachographs, etc.)
  • Experience analysing data or producing reports
  • Relevant qualifications or industry knowledge
