Executive Assistant to Managing Director

Vapor Clean is a family-founded, family-run eco-friendly cleaning company providing professional cleaning services across domestic and commercial premises.

We pride ourselves on being friendly, approachable, and reliable while delivering high standards of cleaning using environmentally responsible methods and products. Our team combines traditional values and strong work ethics with modern cleaning systems designed to minimise disruption and reduce environmental impact.

About the Role

As our business continues to grow, we’re looking for a highly organised and proactive Executive Assistant to work closely with the Managing Director, providing support across both day-to-day priorities and wider business activities.

This is a varied and hands-on role focused on creating capacity, improving organisation, and helping the Managing Director stay focused on high-value activities. You’ll be a trusted right-hand person, coordinating priorities, managing tasks, and ensuring key activities progress smoothly.

From managing communications and scheduling to supporting projects, coordinating stakeholders, and driving follow-up actions, you’ll play a key role in keeping people aligned and priorities on track.

No two days will be the same, making this an excellent opportunity for someone who enjoys variety, takes initiative, and thrives in a fast-paced environment where they can make a genuine impact.

While you’ll work closely with colleagues across the business, this role is centred on executive support, coordination, and delivery rather than operational management.

What You’ll Be Doing

You’ll play a key role in helping the Managing Director stay organised, focused, and effective. Your responsibilities will include:

  • Managing schedules, priorities, and day-to-day administrative activities.
  • Supporting internal and external communications through calls, emails, and correspondence.
  • Coordinating tasks and activities across teams to ensure actions are completed and priorities remain on track.
  • Proactively following up on actions, deadlines, and outstanding items to drive timely outcomes.
  • Assisting with projects and business initiatives from planning through to delivery.
  • Preparing information, documents, and updates to support decision-making and business activity.
  • Identifying opportunities to improve organisation, efficiency, and ways of working.
  • Helping maintain visibility, accountability, and momentum across key business priorities.

What We’re Looking For

We’re looking for someone who is organised, proactive, and enjoys taking ownership of their work. You’ll be confident building relationships, keeping things moving, and ensuring nothing falls through the cracks.

You will be

  • Highly organised, with the ability to manage multiple tasks and priorities effectively.
  • A confident and professional communicator, both over the phone and in writing.
  • Comfortable making outbound calls to follow up on actions, gather information, and ensure timely progress.
  • Proactive in identifying next steps and resolving issues before they become problems.
  • Able to thrive in a fast-paced environment while maintaining accuracy and attention to detail.
  • Accountable and reliable, taking ownership of tasks through to successful completion.
  • Positive, adaptable, and willing to support the wider team where needed.

Previous experience as an Executive Assistant, Personal Assistant, Office Manager, or in a similar senior administrative role is essential.

What You’ll Get

  • £17,500 per year for 25 hours per week.
  • Employment with a recognised Real Living Wage employer.
  • Flexible working arrangements to support a healthy work-life balance.
  • Direct exposure to business leadership and growth.
  • The opportunity to make a real impact within a growing company.
  • Regular staff social events and team activities.

If you thrive on organisation, solving problems, and want to play a key role in a growing business, we’d love to hear from you.
