We're seeking a friendly and efficient Receptionist to be the welcoming face of Luton Town Centre Practice.

In this role, you will use System One and Adastra to accurately record patient information while managing inquiries through phone calls, emails, mail, or in-person interactions. You will support clinicians by ensuring that protocols are followed, booking appointments, and marking patients as arrived for the Urgent Treatment Centre.

Additional responsibilities will include assisting with clinical exams, acting as a chaperone, helping to open the premises while complying with Health & Safety standards, performing floor checks, reporting maintenance issues, delivering messages accurately, processing mail, maintaining confidentiality and ensuring that the reception area remains clean and inviting.

Main duties of the job

  • Act as focal point for the unit
  • Meeting and greeting patients and visitors
  • Utilising System One and Adastra for accurate recording of attendances at the unit
  • Handling internal and external enquiries from all sources, in person, by telephone, email or post
  • Work alongside the clinician(s) in the provision of patient care, responding to requests in a timely manner, whilst ensuring protocols and procedures are followed.
  • Book appointments with relevant clinicians in the Practice ensuring the correct consultation times and clinicians are utilised.
  • Ensure patients are booked in or marked as arrived for the Urgent Treatment Centre
  • Act as chaperone when needed and oversee clinical examinations.
  • Assist in the opening of the premises.
  • Adhere to Health & Safety regulations.
  • Ensure that floor checks are carried out whilst on duty.
  • Checking for any maintenance issues and reporting any issues to the Service Manager and maintenance contractors.
  • Answering telephone calls in a timely and appropriate manner.
  • Delivering accurate and complete messages, transferring calls as appropriate to doctors, nurses and admin staff.
  • Process internal and external mail when requested to do so
  • Promote effective communication and relationships within the team.
  • Participate in clinical and practice meetings

Person specification

Knowledge and Experience

Essential criteria

  • GCSE or equivalent in English and Maths
  • Good proficiency in MS Office applications including Word, Excel and Outlook
  • Previous experience in a customer service role
  • Previous reception and/or administration experience

Desirable criteria

  • Knowledge of SystmOne or similar IT system
  • Previous Healthcare experience
