Solutions is a Facilities and Estates services company providing support to healthcare professionals caring for over 2000 patients daily across multiple East Kent hospital sites . 2gether provides vital services including maintenance, cleaning, catering, procurement, logistics and much more.
The role
We are looking for an experienced administrator to join our Estates Team at William Harvey Hospital on a full time (working 37.5 hours per week, Monday - Friday), permanent basis. As a central point of the team, the administrator provides high quality, comprehensive administration, clerical and typing support whilst acting as a key liaison point between Management, other staff and contractors to keep our healthcare facilities operating safely and effectively.

This is a part-time role, working 30 hours per week. We are able to be flexible on the combination of days/hours required, for example 4 days per week or 9am - 3pm across 5 days. Please let us know your preference upon application.
Key responsibilities
You'll play an important role in ensuring our Estates operations run smoothly by supporting helpdesk activities, workforce administration, compliance processes, financial administration and reporting requirements.
No two days are the same, and you'll be involved in a wide range of activities that help maintain essential services across our healthcare estates, including:
- Creating, prioritising and monitoring work orders in line with service level agreements
- Maintaining departmental databases and records with a high level of accuracy
- Supporting workforce administration, including timesheets, holidays, sickness records and rota planning
- Coordinating contractor and visitor administration processes
- Producing reports, dashboards and management information
- Supporting meeting administration, including scheduling, agenda preparation and minute taking
- Assisting with purchasing, invoice reconciliation and financial administration
- Supporting compliance activities and Minor New Works administration
- Providing cross-team support to ensure service continuity across Estates functions
- General office support, such as sorting post, photocopying, sending and receiving emails, answering telephone calls and dealing with enquiries

We're seeking an enthusiastic and highly organised individual who can manage competing priorities while maintaining excellent attention to detail. Essential Skills include:
- Previous experience within a busy administrative environment
- Excellent organisational and time management skills
- Strong Microsoft Office skills, including Word, Excel, Outlook and Teams
- Experience managing and maintaining accurate records and databases
- Strong communication and interpersonal skills
- Ability to remain calm and professional in a demanding environment
