Job Overview

We are looking for a highly effective medical secretary to join the Care of the Elderly Team. You must be able to communicate effectively with colleagues, patients and medical teams, have the ability to work under pressure, have excellent time management skills and the ability to be able to problem solve.

The role of the medical secretary is to provide support to specific named Consultants within the department, dealing with referrals, liaising with the medical team and the production of clinic letters amongst other general secretarial duties. This role is also to support the discharged inpatient side of the department which will include the checking of discharge summaries, checking results and general inpatient queries that come in for the Consultants once the patient has been discharged from the ward.

Previous administrative or secretarial experience is essential with excellent typing skills. Medical terminology is desirable but not essential. Our ideal candidate will be flexible, adaptable and willing to work as part of our busy team and cross cover as necessary when required.

This role is part time 30 hours per week and is ideally to be over 4 full days. Specific days can be discussed.

Main duties of the job

  • To provide a complete medical secretarial service including word processing, electronic filing, photocopying / scanning and the composition of letters. To provide a fast and accurate copy and audio typing service to the department, producing clinic letters and other documents.
  • To check discharge summaries and test results for discharged inpatients. To be the point of contact for any queries following discharge via telephone and email.
  • Preparing and organising papers for meetings, attending and taking minutes when necessary.
  • To liaise with Nurses, Doctors and other members of the multi - disciplinary team including Inpatient & Outpatient Bookings teams to provide a quality service for the patients.
  • To work as part of a team sharing responsibility for the smooth running of the post.
  • To provide a first point of contact, answering all telephone inquiries, taking and relaying messages in a polite and helpful manner, and using own judgement to establish the priority of issues and taking action as appropriate. To arrange patient appointments when necessary.
  • To assist with the smooth running of the consultant’s diary and organise meetings as appropriate.
  • To deal with incoming correspondence, using initiative as appropriate.
  • To provide secretarial cover across the directorate as directed.
