MAD About Facades Limited is a specialist façade and cladding subcontractor based in Essex, delivering high-quality façade and cladding solutions on major construction projects across the UK. We work with leading main contractors, developers, and construction professionals, supporting projects from planning through to completion.

As the business continues to grow, we are looking for a highly organised and proactive Administrative Assistant to support our Directors and wider project teams.

The Role

This is a part-time position of approximately 15 hours per week, around 3 hours per day, Monday to Friday. The role is mostly home-based, with occasional attendance at meetings via Microsoft Teams when required. There is some flexibility on hours for the right candidate.

The successful applicant will play a key part in the day-to-day administration of the business, helping ensure projects, communications, and operational activities run smoothly.

Key Responsibilities

  • Provide administrative support to company Directors and management teams.
  • Complete daily and weekly tasks assigned by Directors.
  • Attend internal and external meetings via Microsoft Teams when required.
  • Liaise professionally with contractors, project managers, suppliers, and clients.
  • Follow up on emails, actions, requests, and outstanding information.
  • Assist in coordinating project communications and updates.
  • Prepare and distribute meeting minutes from site and management meetings.
  • Maintain organised electronic filing systems and project records.
  • Manage calendars, appointments, and meeting schedules.
  • Draft professional correspondence, reports, and documentation.
  • Monitor shared inboxes and ensure enquiries are dealt with promptly.
  • Support project administration activities and general office functions.
  • Assist with document control and maintaining project information.

Essential Requirements

  • Excellent computer literacy and confidence using technology.
  • Strong working knowledge of Microsoft Office, including Outlook, Word, Excel, Teams, and PowerPoint.
  • Ability to confidently join, organise, and participate in Microsoft Teams meetings.
  • Excellent written and verbal communication skills.
  • Strong organisational and time-management abilities.
  • Ability to work independently and manage multiple priorities.
  • High level of attention to detail.
  • Professional and courteous telephone and email manner.
  • Reliable internet connection and a suitable home-working environment.
  • Ability to maintain confidentiality and handle sensitive information professionally.

Desirable Experience

  • Previous experience as an Administrative Assistant, Executive Assistant, Office Administrator, or Project Administrator.
  • Experience within the construction, façade, cladding, engineering, or related industries.
  • Understanding of construction terminology and project processes.
  • Experience taking and producing meeting minutes.
  • Familiarity with document control systems and project administration procedures.
