The Role

As an Experience Manager, you are the guardian of our client experience once a booking is confirmed.

You will act as a trusted pre-departure concierge, ensuring every client feels confident, looked after and excited about their upcoming ski holiday. Working closely with our Sales Specialists, resort teams and concierge suppliers, you will play a vital role in delivering the seamless, high-touch service Oxford Ski Company is known for.

This is a detail-driven, people-focused role, ideally suited to someone who takes pride in exceptional service, enjoys problem-solving, and thrives in a fast-paced luxury environment.

Key Responsibilities

Client Experience & Concierge Service

  • Act as the primary pre-departure point of contact for clients once a booking has been confirmed.
  • Manage the handover from the Sales Specialist, fully understanding the client’s expectations, preferences and priorities.
  • Proactively guide clients through the planning of their stay, offering knowledgeable advice and a highly personalised concierge service.
  • Ensure all client requests, communications and updates are accurately recorded within our systems.
  • Maintain contact with clients prior to departure to ensure they feel fully prepared and supported.
  • Create and send final itineraries to cilents ahead of their trips.
  • Support on-trip communication where required and assist with post-trip engagement.

Supplier & Resort Relationships

  • Build and maintain strong relationships with our concierge suppliers and resort partners.
  • Source the best possible options for clients while ensuring commercial objectives are met.
  • Attend supplier meetings and contribute to maintaining up-to-date product knowledge.
  • Participate in summer and winter FAM trips to deepen understanding of resorts, suppliers and services.

Sales & Internal Support

  • Provide comprehensive sales support to our Sales Specialists, enabling them to deliver outstanding proposals and secure bookings.
  • Assist with booking administration, documentation, and client paperwork.
  • Support the Accounts Team with payment follow-ups where required.
  • Assist with post-travel feedback and operator communication.

Systems, Content & Administration

  • Maintain accurate and up-to-date information across internal systems, databases and the Oxford Ski Company website.
  • Support the upkeep of resort and concierge content.
  • Assist directors and the wider team with ad-hoc administrative tasks as needed.

About You

  • Previous experience in a client service, concierge, travel or luxury hospitality role is desirable.
  • Experience working a ski season, or strong knowledge of ski resorts and chalet operations, would be advantageous.
  • Comfortable working with high-net-worth clients and delivering a premium level of service.
  • Exceptionally organised, with strong attention to detail and the ability to manage multiple priorities.
  • Confident communicator with a friendly, professional manner and a genuine desire to go above and beyond.
  • A strong team player who enjoys contributing to a small, collaborative business.
  • Competent with Microsoft Office; experience with Salesforce CRM is an advantage.
  • Additional language skills are beneficial but not essential.
  • Curious, proactive and keen to learn, with the ambition to grow alongside the business.
