LSH Auto is seeking a highly organised and proactive Executive Assistant to provide comprehensive administrative support to our managing director & senior management team. The successful candidate will play a vital role in ensuring the efficient running of day to day operations, managing correspondence and scheduling meetings. Hours: 40

Salary: £33,000 – £35,000 (dependent on experience)

Key Responsibilities

  • Provide full diary management support to the Managing Director and, where required, members of the Senior Leadership Team, including complex scheduling, meeting prioritisation and conflict resolution.
  • Arrange internal and external meetings, including leadership meetings, board-style meetings, retailer meetings, partner meetings, supplier meetings, manufacturer-related activities and ad hoc business reviews.
  • Coordinate meeting rooms, hospitality, refreshments, technology requirements, visitor arrangements, attendee lists, room layouts and supporting materials.
  • Prepare and circulate agendas, meeting papers, briefing notes, presentation packs and supporting documents.
  • Attend selected meetings to capture notes, decisions and action points, then follow up with relevant stakeholders to ensure progress is made.
  • Provide broad administrative support to the Managing Director and Senior Leadership Team, including drafting, proofreading and formatting correspondence, reports, letters, presentations and internal communications.
  • Maintain organised records, files, contact lists, trackers, key documents, business updates, operational follow-up notes and executive administration materials.
  • Support selected customer correspondence on behalf of the Managing Director, including acknowledgements, updates, follow-up communications and complaint tracking.
  • Liaise with internal teams to obtain information, chase responses and ensure customer, complaint and stakeholder matters are followed through to conclusion.
  • Escalate sensitive, confidential or high-risk matters appropriately, maintaining a professional and customer-focused approach at all times.
  • Organise UK and international travel, including flights, hotels, transport, itineraries, travel packs, accommodation, hospitality and logistics for visiting executives, partners and stakeholders.
  • Process expense claims accurately and promptly, and support senior leaders with mileage, bookings, travel administration and approvals.

Requirements

  • Proven experience as an Executive Assistant or similar administrative role.
  • Excellent organisational and time-management skills.
  • Strong written and verbal communication abilities.
  • Ability to manage multiple priorities and work under pressure.
  • Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Discretion and confidentiality in handling sensitive information.
  • Ability to coordinate complex schedules and travel arrangements.
  • Strong interpersonal skills and a professional attitude.
