What Are We Looking For?

Duties

Our Receptionists are the first point of contact for our clients and the Firm. They work as part of the Business Services Team, reporting to the HR Manager. This role will handle all receptionist duties, answering client enquiries, and ensuring correct call handling to appropriate departments. See Duties below:

Key Responsibilities

  • Greeting clients and visitors professionally, as first point of contact in the office this role holder needs to provide a warm and exceptional client experience
  • Managing all incoming calls professionally
  • Managing staff calls
  • Daily tracking of staff on-site or working from home to smoothly transfer calls
  • Ensuring the client facing parts of the office are kept in a neat and presentable manner
  • Coordinating the booking of meeting rooms and allocation of meeting laptops
  • Ensure the highest possible level of internal/external client service delivery as part of a proficient team
  • To have a high level of understanding of the firm and operating processes to ensure enquiries and tasks are actioned in a timely and effective fashion
  • Various administrative tasks, such as processing all mail which comes to the office, booking couriers, ordering general supplies
  • Running office errands when required
  • Any other duties required by the Equity Partners

Working Hours: 9:00am – 5:30pm – additional hours may be occasionally required during busy periods.

Qualifications, Knowledge, Skills, Experience And Personal Qualities

  • Previous experience in a Front of House or Client Services role, preferably in a Law Firm
  • Excellent communication skills
  • Discreet and observe client confidentiality
  • Ability to work to tight deadlines, show flexibility and prioritise workloads in a calm and consistent manner
  • Must be able to work in an open plan, friendly but fast paced environment
  • Must be self-motivated and able to organise own work with minimum supervision
  • Excellent attention to detail and quality of work
  • Ability to build and maintain working relationships with others and is seen as approachable
  • Demonstrates good judgment and sound decision making when dealing with problems
  • Willing to contribute ideas and seek improvements
