Job Summary
Act as the main communication/registration point for all the patients and visitors presenting at PaediatricEmergency Department Good Hope Hospital. To undertake all the administrative and clerical duties to support the functioning of the departments. Ensure that all administration systems within these areas are maintained to a high standard
Main Duties, Tasks & Skills Required
- Register all new patients, collecting and checking details input all data onto the Trusts, Patient Administration Systems (PAS) generating the appropriate documentation.
- Register Ambulance patients being received in ED, collecting all data required including log numbers and Ambulance call signs.
- Ensure the accurate and timely update of PAS including admission and any changes to patient details of all patients attending ED as required. To print the CAS card to the correct printer as per the ED protocol, producing standard documentation and passing to nursing staff in a timely manner.
- To admit non-Emergency Department patients to other wards in the Trust via the Patient Administration System as and when requested by the nursing/medical staff. Printing the necessary standard admission documentation as required.
- Notify nursing/medical staff of any patient attending ED who presents with chest pain and query CVA.
- Register and prepare all documentation immediately for trauma alerts, ensuring alert register is completed

- Scan all documentation for admissions ensuring they are showing on the Clinical Portal before being released from the area.

- To answer telephone, in a polite and courteous manner being the first point of contact for queries.
- Maintaining patient confidentiality at all times when dealing with requests for information or forward to appropriate staff.
- To receive all visitors to the departments in a professional, polite and friendly manner.
- Process requests for ED referral appointments for Fracture clinic, ED Review clinic and Birmingham Children's Hospital as recorded by medical staff on the ED card, using appropriate method before patient leaves the department. Produce documentation and request notes as required by the clinic.
- Collate information for all overseas visitors, inform supervisor and email Overseas Visitors Inbox.
- Collect anonymised data for completion of the Assault Database (The Cardiff Model)ensuring details have been recorded for review and action by the Crime and Disorder Reduction Partnership (CDRP)
- Use electronic SCR (Summary Care Record) to ensure GP's and postcode information is accurate.
- Sort and dispatch all GP letters to surgeries.
- To ensure appropriate levels of stationary are maintained in liaison with the Team Leaders
- To distribute incoming post and prepare outgoing mail for collection.
- Assist in the training of new staff referring back to the ED Team Leader if they require further one to one support.
- Cover annual leave and sickness within the department and participate in working Bank Holiday Duties including Christmas as per rota.
- Participate in the Major Incident Procedure, in the event of a Major Incident available staff member to be responsible for the registration of patients, update patient details for ED and other hospital departments, process admissions/appointments.
- To attend all mandatory training and subsequent refresher courses as and when required.
- The post works on a 24/7hour rotational shifts resulting in working without supervision for a period of time in the working week.

Qualifications
Essential
- Good General Education (e.g. GCSE English and Maths A-C) GCSE Level 9-4
Experience
Essential
- Experience of dealing with the Public/Customer service experience
- Experience of working with a range of Microsoft Office packages (eg. Word, Excel and Outlook)
- Experience of using IT systems
- Experience of working in a busy office / customer care environment
Desirable
- Experience of working in Healthcare
