About The Role
Balfour Beatty are looking for an Administrator to provide Health, Safety and Wellbeing (HSW) administrative support, covering Occupational Health and onboarding, on our Lower Thames Crossing project in the South East.
The HSW Administrator will provide administrative support to the Lower Thames Crossing Health, Safety and Wellbeing (HSW) team across all aspects of HSW. This includes developing documentation, ensuring compliance with legal and company standards, and supporting the delivery of a culture of continual improvement.
The role will work closely with the HSW Lead, Managers, Advisors and other Administrators to ensure requirements are met and complied with. Responsibilities will also include ensuring competency compliance within the project onboarding process and managing inductions.
What you'll be doing
- Support the Head of HSW in ensuring accurate HSW performance monitoring.
- Proactively identify trends within the datasets to enable focus into areas requiring improvement.
- Serve as the focal point and ensure timely resolution of all queries and issues raised.
- Co-ordinate meetings, arranging rooms, inviting guests, taking minutes, collating meeting packs etc.
- Develop and distribute reports and analysis as requested.
- Processing of induction bookings across the project, utilising Msite database for Competency vetting and liaising with supplychain administators
- Upload incident information to the required databases in a timely and accurate manner
- Provide technical administration support and co-ordination for the HSW team within respective areas
- Actively manage Occupational Health records for project personnel.
- Book and manage Occupational health medicals and occupational health surveillance requirements.
- Administer the Highways Passport or similar scheme for project staff
- Operate and maintain technical databases that support HSW operations
- Compile and coordinate reports on a monthly and ad hoc basis
- Maintain incident and assurance files
- Categorise HSW observations and provide trending analysis on a monthly basis.
- Assisting the project team to close out observation effectively
- Assist with document control, record keeping and archiving
- Assist with the creation and distribution of Health, Safety and Wellbeing Campaign material and creating/updating noticeboards as required
Who we're looking for
The Following Qualities/experience Are Essential
- Must be fully proficient in all Mircosoft 365 applications
- Keen attention to detail and quality when manipulating data and statistics
- Reliable, proactive and able to meet demanding deadlines
- Ability to co-ordinate and prioritise a number of tasks whilst dealing with day-to-day work requests
- Strong organisational and planning skills
- Good communication skills, both verbal and written
- Desire to learn all aspects of Health, Safety and Wellbeing and have a can do attitude
