JOB TITLE: TRANSPORT COMPLIANCE AND SCHEDULING COORDINATOR
ABOUT THE ROLE
A brief summary
Driving compliance and scheduling is a vital part of the organisation and this role is essential in the planning and scheduling of Heavy Good drivers to ensure successful execution of logistics planning and getting trucks to on sire venues within timeframes required, whilst ensuring the organisation and its drivers remain safe and legally compliant and in line with transport law requirements.
This position has a strong focus on Golf logistics planning, supporting the team during high season and providing robust advice and planning guidance to other areas of the organization during low season.
Being a key member of the Rigging Logistics team, you will advise the Head of Department on areas of concern, suggest changes and opportunities for continual improvement.
What you’ll be responsible for
- Book schedule and plan routes in a legally compliant and safe manner, including additional vehicles, double drives, inter company travel etc.
- Update ferry schedules throughout the season & send all updates to harbor Shipping
- Enter all ferry costs along with GMRs, ENS costs etc into job costs
- Book HGV drivers for all golf and other logistics
- Book driving permits for Sunday evening dispensations in countries as and when required
- Liaise with the Fleet Department to arrange all PMIs for the Golf Truck. Update the Golf Department with all the arrangements. Book additional drivers if required.
- Ensure all HGV driver days off are logged correctly in truck logistics & on crewing system Raise freelance rigger
- driver PO’s Update job costs for all rigger
- drivers on each event
- Complete driver itinerary for each event.
- Request via the correct internal team any flights, hotels, taxis etc required for the drivers.
- Book all hire cars for drivers. Enter all costs into job costs.
- Send itineraries in good time to all relevant parties
- Update crew sheets for Production Managers & inform of updates so that clients can be informed of any changes Notify all relevant departments of any updates on truck departures
- returns etc
- Implement and monitor positive driver behavior and compliance systems whilst maintaining oversight of drivers’ hours, walk around checks and defect reporting
- Escalate any urgent or potentially serious issues, complaints etc with immediate effect to the Head of Rigging and other senior management as appropriate
This role is for you if
CPC Manager (National- International) Qualification or working towards. Transport compliance background
- experience.
- Experience in Scheduling and booking of drivers
- Credible communicator whilst being comfortable influencing upper management.
- Focuses on continual improvement, challenges the status quo and leads discussions.
- Work collaboratively with other stakeholders such as operations, engineering and drivers.
- Proficient IT skills across common office programs along with telematics and compliance systems.
- Hold a full UK driving license.
