The Role
We are undergoing an exciting time in our evolution and now seek an ambitious and driven Contracts and Renewals Executive.
In this role, you will be responsible for reviewing, renewing and billing customer agreements using Xperience’s CRM (Customer Relationship Management) databases. The role will also require the individual to contact our wide-ranging client base where purchase orders are required, and to update the CRM systems where licences have been added to the customer account by our in-house team of Account Managers.
This role will suit a highly organised, efficient and commercially focussed individual who brings experience in client facing administration in a Finance or Professional Services background. As a confident communicator you’ll thrive in ownership and collaboration, working in partnership with colleagues right across our multi-site business to deliver excellence in client experience.

Job Responsibilities
- Ensuring timely and accurate execution of assigned renewals
- Communicate with clients regarding upcoming renewals, pricing changes, and contract terms
- Maintain and update renewal records within ConnectWise
- Collaborate with commercial, finance, projects and service desk teams to facilitate smooth renewal transactions
- Prepare renewal quotes and documentation in accordance with agreed group policies
- Identify opportunities to upsell or enhance contract value based on customer needs
- Address customer queries and concerns related to contract renewals
- Monitor contract expirations and proactively follow up to reduce churn
- Support purchasing function in the procurement of licenses as required
- Ensure compliance with company policies and regarding agreements and renewals
- Help with process creation and continuous improvement
- Support with customer cancellations, complaints and retention as required

Experience Required
Essential:
- Previous experience in a contract administration, renewals management, or similar role
- Strong organisational skills with excellent attention to detail
- Proficiency in CRM software eg; (Connectwise) and Microsoft Office Suite (Excel, Word, Outlook)
- Excellent verbal and written communication skills
- Ability to manage multiple tasks and deadlines effectively
- Customer-focused mindset with problem-solving abilities
- Ability to work both independently and as part of a team
- Valid Right to Work in the UK (We do not currently hold a visa sponsorship licence)
- Previous user experience of ConnectWise for contract renewals
- Previous experience in a Managed Services/IT/Professional Services organisation
- Knowledge of sales and financial processes related to contract renewals
