This varied and wide ranging role, is to support employee health and wellbeing at work as part of the UK – People Health and Wellbeing Team. The role uses administrative, organisational, MSOffice skills. The working environment may give exposure to medical / safety emergencies and as such, a calm mind in the heat of an incident to deliver support that may be required is needed. The nature of the work this team does is highly confidential and compliance with all GDPR legislation is of the utmost.

What You’ll Do
Communication
- Maintain effective communication with all levels of staff.
- Manage general and emergency telephone calls
- Liaise with internal & external Specialists/Practitioners
- Input into the Wellbeing programme including working with the team to produce articles for the Webpages
- Assist with information gathering during webinars such as attendee’s lists, chat box management and feedback surveys
- Assist with co-ordination of wellbeing programmes and awareness days.
- Maintain and distribute first aid rota and provide point of contact for first aiders, including First aid supplies, terms of reference, honorarium payments
- Liaise with Learning and Development colleagues in respect of First Aid training requirements and keep relevant spreadsheets up to date
- Maintenance of the PHWB specialist software
- To effectively manage the Department's appointment system including review appointments
- Manage health needs assessment tool with onsite managers identified
- for health surveillance, liaise with external provider on clinic requirements using internal health needs assessment tool
- Filing (electronically/hard copy) e.g. letters, medical certificates, self-certificates.
- Processing the starters and leavers lists
- Visitors notification process
- Maintaining archiving system and appropriate disposal of records.
- Facilitate the maintenance/updating of the PHWB web pages
- Collating and preparing regular data (e.g. sickness absence, diary utilisation)
- Management of the Eyecare portal ensuring the updated GCI loads are sent over each month and that all invoicing information is exported from the system into our shared drive
- Dealing with any queries or issues relating to the eyecare portal
- Arranging calibration of equipment on site
- Monitoring and maintaining stocks of clinical and first aid supplies & equipment (not medications/vaccinations)
- Stationery & special equipment ordering ad hoc, by exception
- Preparing medical notes for clinics
- Sending out Confidential letters and reports for clinical team following appointments in compliance with GDPR & strict security data compliance
- Collation of Quarterly Stats
- Manage absence data, including data input and LTS
- Provision and maintenance of all necessary reports.
- Preparing letters and liaison with People Business Partners on Statutory Sick Pay / Occupational Sick Pay.
- Recording of PHWB spend to budget.
- PC literate with competency using MS Office with Excel skills at intermediate level.
- Demonstrable administrative, forward planning and organisational skills
- Numeracy skills with invoice processing experience desirable, though training is available
- Attention to detail and a high level of accuracy is required
- Effective communication skills and confidence to approach all members of staff
- Demonstrate initiative, self-motivation, self-management
