Role Purpose and Key Responsibilities We’re looking for a proactive and reliable Facilities Coordinator (internally known as Workplace Coordinator) to oversee the smooth day to day running of our seven floor London office. In this visible and hands on role, you’ll coordinate a wide range of workplace services – from cleaning, post and security to M&E contractors, health and safety, and front-of-house.
Acting as the primary point of contact for all facilities related matters, you’ll work closely with both internal stakeholders and external suppliers, ensuring our building is safe, well maintained, and welcoming for staff and visitors alike. This role is ideal for someone with experience in facilities coordination who enjoys being hands-on, solutions-focused, and engaged with all areas of building operations.
Key Responsibilities:
Supervise all third-party contractors and suppliers, ensuring work complies with RAMS, permits to work, and health and safety standards
Coordinate daily facilities services and oversee delivery of PPM schedules, M&E and reactive maintenance
Carry out daily building inspections and manage floor-level standards across all collaboration spaces, stairwells, and coffee points
Maintain service logs, mail records and contractor KPIs/SLA tracking, ensuring timely follow-up on all requests
Develop a professional relationship with all facilities service providers by regular contractor/vendor meetings and maintain a high-quality experience for stakeholders and clients
About You You’ll be organised, approachable, and hands-on — someone who’s confident supervising contractors, enjoys staying physically active, and takes pride in delivering a smooth and professional workplace experience.
A working knowledge of hard and soft FM services, including PPM scheduling and contractor supervision
Good communication skills and confidence working both independently and as part of a team
An understanding of workplace health and safety; NEBOSH or IOSH certification is desirable
A positive, proactive mindset and a commitment to excellent service delivery
