  • Location: Airport Road Belfast / UK Travel
  • Hours Per Week: Monday - Friday , 40 Hours
  • Job Type: Permanent / Full Time

Responsibilities

The Operations and Commercial Coordinator will be responsible for:

Commercial & Financial Management

  • Prepare and submit monthly valuations to clients; issue invoices upon agreement.
  • Price works and assist the Contracts Manager in preparing and submitting tenders.
  • Calculate job sales prices based on contractual rates for labour, subcontractors, and materials.
  • Determine profit margins on billed work and report any deviations from targets to management.
  • Collaborate with the Finance Department to ensure timely and accurate billing of all completed works.
  • Support the Credit Controller in debt recovery efforts.
  • Provide invoice backup documentation to clients upon request.
  • Maintain detailed cost records by supplier/vendor.

Procurement & Resource Coordination

  • Liaise with the Procurement Team to source plant, equipment, and materials; assist in raising purchase orders.
  • Manage hired plant and equipment orders, ensuring effective stock control.
  • Oversee vehicle maintenance, arrange repairs, and coordinate replacements as n eeded .

Operational Oversight

  • Maintain daily records of completed work for invoicing and reporting.
  • Organise staff schedules based on client requirements, availability, and operational priorities.
  • Prepare and deliver job briefing sheets to operatives, ensuring clarity on job expectations.
  • Supervise daily operations, monitor progress, and reassign staff as necessary .

Client & Stakeholder Engagement

  • Communicate with clients to clarify job specifications and resolve account queries.
  • Coordinate with public authorities to obtain necessary permits and permissions for road space.
  • Lead meetings with clients and public bodies to discuss project-specific requirements.

Compliance & Quality Assurance

  • Conduct site audits to ensure adherence to safety and quality standards.
  • Review and approve AutoCAD Traffic Management drawings.
  • Install and remove Traffic Management systems in compliance with Chapter 8 regulations.

Subcontractor & Team Management

  • Instruct, brief, and supervise subcontractors to ensure compliance with job specifications.
  • Participate in training programs and continuously update skills in line with the training plan.
  • Perform general ground and winter maintenance tasks as required.

Documentation & Reporting

  • Complete all necessary reports and documentation, including daily activity logs and instruction records.
  • Take responsibility for the care and use of vehicles, plant, and materials under your control .

Additional Responsibilities

  • Adapt to undertake any other duties as directed by Senior Management.
  • Be available for out-of-hours work when required.
  • Demonstrate the ability to work independently and take initiative.

About You

Essential Criteria:

  • Experience in use of Microsoft Packages
  • Strong attention to detail
  • Experience in a customer facing role
  • Willingness to work on the ground as and when required

Desirable Criteria

  • Previous experience in a Traffic Management sector
  • Previous experience in a commercial / finance/ pricing administration role
