The Job
The Accounts Payable Clerk / Finance Assistant will be responsible for assisting the Finance Team with the Accounts Payable process and daily administrative activities, providing quality internal customer service, and working effectively in a team environment. You must be able to work effectively in an in-person and remote team environment. You will require a strong home internet connection to facilitate the remote working days.
Key Responsibilities
- Performing and monitoring the payables process (including, inter alia, creditors, expense claims, credit cards, direct debits etc) effectively in accordance with policies and procedures from receipt date of an invoice to payment date
- Maintaining electronic mailbox and register of invoices and credit notes
- Matchng and validating purchase orders (POs), invoices, credit notes and where applicable, delivery notes to ensure accuracy and prevent duplicate paymentsReviewing and updating
- payables (creditors, employees) database periodically to ensure completeness and accuracy
- Issuing POs on approved quotes in Sage Intacct and other systems are required
- Identify and follow up on any outstanding approvals for quotes and invoices
- Collaborate with other departments in meeting payment term deadlines
- Ensuring weekly payments are processed and submitted, as well as ensuring no late payments and zero interest paid on supplier invoices
- Prepare supplier recons prior payment run
- Issue remittances and request statements from suppliersOnboard suppliers and maintain records of existing suppliers
- Investigates irregularities in reconciling process by contacting suppliers
- Managing physical post deliveries and electronically distributing to appropriate stakeholders in a timely manner
- Perform office organisational duties, inter alia, liaising with ad hoc office visitors, supporting occasional office meeting organisation and assist to maintain a clean, tidy and well organised office environment
- Other ad hoc duties
- Good secondary education, with passes in English and Maths at GCSE
- Advanced computer skills
- Proficient in Microsoft Office, particularly Excel
- Excellent verbal and written communication skillsAbility to effectively work individually and as part of a team – hybrid role - remote and in-person
- Competency in performing multiple functional tasks
- Time management and organizational skills
- Ability to work under pressure
- This position requires a high level of dedication and accountability
