Key Responsibilities:

  • Serve as the primary point of contact for all queries related to the new Computer-Aided Facilities Management (CAFM) software. Coordinate with software providers to ensure timely resolution of issues, and lead training initiatives to upskill nursery staff in using the CAFM system effectively.
  • Reconcile all consolidated and non-consolidated invoices against individual job requests recorded in the CAFM system. Work closely with contractors to confirm completion timelines for any outstanding works. Ensure all invoices are correctly approved, coded to the appropriate GL account, and act as the main liaison with the Finance Department for all facilities-related invoice inquiries.
  • Oversee the management of key commercial contractors responsible for waste management, landscaping, and cleaning services. Monitor service delivery against SLAs and KPIs, addressing any concerns directly with account managers to ensure performance standards are met.
  • Ensure full legislative compliance across all nursery sites by maintaining up-to-date certification records. Collaborate with Facilities Managers to resolve any compliance exceptions, escalating unresolved issues to the Property Director as needed. Generate and distribute monthly exception reports via the CAFM system to highlight the current compliance status.
  • Validate new contractor eligibility to ensure all necessary documentation—such as insurance certificates, health and safety accreditations, and DBS checks—is obtained and maintained on file before commencement of work.
  • Coordinate utility meter readings with the appointed energy consultant, ensuring timely and accurate submission of data to support correct billing.
  • Manage all facilities-related matters at the Basingstoke Head Office, working in partnership with the Facilities Manager and relevant contractors to ensure timely completion of maintenance and improvement works.
  • Lead the competitive tendering process for high-value service contracts, including waste management, landscaping, and cleaning, to ensure best value and service quality for the business.

About you:

To excel in this role, you will ideally meet the criteria below.

  • Will require interaction at all levels within Grandir UK in addition to Contractors and Local Authorities, so excellent communication skills are a must.
  • A client-driven attitude towards all operational facilities requests from the business
  • It is essential you have excellent IT Literacy with the ability and enthusiasm to learn new software systems quickly and effectively
  • Preferably have the awareness of the facility requirements of both a multi-site portfolio and nursery environment
  • Initiative-taking with the ability to work individually as well as part of a team
