About the role:


We’re looking for a highly organised and data-driven Operations Administrator, reporting into our Service Operations Specialist, to manage stock levels, procurement, and planning across four dynamic contractor-led projects. This role is ideal for someone who thrives in a fast-paced, ever-evolving environment and enjoys working with data, planning and people, in a fast paced environment.


What you’ll be doing:


Operational Planning

  • Supporting the in-house engineering team; coordinating materials, tools, and resources, and responding to field requests as needed.
  • Managing stock levels both internally and externally, ensuring continuous availability, factoring in supplier lead times, usage trends, and business demand.

Stock & Procurement Management

  • Raising, tracking, and reconciling stock orders, ensuring timely procurement and optimal inventory levels.
  • Maintaining comprehensive and auditable records for all transactions, invoices, and reconciliations, including internal stock movements.
  • Responding to stock-related enquiries from other teams, providing accurate information and resolving any discrepancies.
  • Ensuring stock areas are maintained in an orderly, tidy, and accessible manner, adhering to safety and efficiency standards.

Supplier management

  • Updating and maintaining supplier information, ensuring stock is sourced from approved vendors at competitive prices while adhering to procurement policies.
  • Coordinating and overseeing internal and external stock movements, ensuring efficient allocation to projects/locations and minimising delays.

Data & Systems

  • Creating, reviewing, and updating asset documentation to ensure records remain current, accurate, and aligned with operational requirements.
  • Compiling, analysing, and presenting weekly/monthly reports to track key operational metrics and support data-driven decision-making.
  • Ensuring timely and accurate updates are recorded in the internal operating system and effectively communicated to relevant stakeholders.

In addition;

  • Strong Excel skills (VLOOKUPs, Pivot Tables)
  • Proven ability to maintain financial accuracy and compliance
  • Excellent attention to detail and organisational skills with a data-driven approach
  • Ability to manage multiple suppliers and shifting priorities
  • Comfortable working with ambiguity and evolving processes
  • Familiarity with stock management, procurement, or operations is a bonus but not essential
  • A proactive mindset and the ability to manage a fast-paced environment with changing priorities
