Recruitment Administrator
Location: Birmingham
Contract: 12 months (Fixed Term Contract)
Role Overview
At Pinsent Masons, we believe in bringing together the brightest minds to shape the future of legal services. We’re curious, collaborative, and committed to continuous growth. If you’re passionate about people, thrive in a dynamic environment, and take pride in delivering high-quality work, we’d love to hear your ideas and welcome you to our award-winning team.
We have a fantastic opportunity for a Recruitment Administrator to join us on a 12-month fixed-term contract, supporting the delivery of our high-impact Partner Recruitment strategy. This role will be based in our Birmingham office.
Our standard working hours are 9.30am–5.30pm, however, we are happy to consider flexible working requests.
This is more than just an administrative role - it’s a chance to work at the heart of a fast-paced, strategic recruitment function at a time of significant growth. You’ll work in the Partner Recruitment team, gaining insight into senior-level hiring, legal market activity, and the operational processes that support world-class recruitment delivery. We are looking for someone who is proactive, highly organised, tech-savvy, and eager to grow their skills in a supportive and ambitious environment.
What You’ll Be Doing
- Manage and update recruitment systems and data trackers with a high level of accuracy, ensuring information is consistently up-to-date, accessible, and clearly communicated;
- Liaise with internal stakeholders and external contacts (e.g. headhunters and candidates) to collate feedback and provide timely updates to the team;
- Coordinate and circulate documents (e.g. CVs, summaries, interview packs) across internal and external stakeholders in a professional and confidential manner;
- Work closely with our Legal Project Management team to support the build and implementation of a new online recruitment platform;
- Provide end-to-end administrative support to the Senior Partner Recruitment Manager and Recruitment Assistant, including interview scheduling and inbox management; Act as the first point of contact for queries in the recruitment inbox, ensuring all correspondence is handled efficiently and directed appropriately
What We’re Looking For
- Previous experience in an administrative, recruitment or customer service role within a professional services or corporate environment;
- Technically proficient with confidence working across multiple systems and tools (experience with applicant tracking systems or Excel would be a bonus);
- Excellent attention to detail and strong organisational skills — you take pride in getting things right the first time;
- Self-starter who takes ownership of tasks and uses initiative to solve problems and improve processes;
- Strong interpersonal and written communication skills, with the confidence to liaise with senior stakeholders professionally and respectfully;
- An interest in recruitment and talent processes, with a desire to learn and grow within a high-performing, collaborative team; Able to juggle multiple tasks and prioritise effectively, especially during busy periods
What to Expect Next
Once you apply, our Recruitment Team will review your application and be in touch via email. Our process typically includes two interview stages—one virtual and one in-person—though we’re flexible based on your needs.
