Role description:

  • To act as PA support and work in partnership with your Leader to aid the excution of the strategic objectives of your Leaders role and the wider strategic objectives of the business.
  • Work as an integral part of the PA community to share information aligned to role to support the PA team and the leadership team understand progress against strategic priorities to enable efficient working.
  • To be a proactive and effective communicator, working in a collaborative manner with Key Stakeholders.

Role accountabilities:

Responsible for delivering a timely, high quality PA service to Senior Management.

Strategic Understanding

  • Understand the strategic objectives of the Organisation and how these translate down in your Leaders role. Understand what success looks like for your leader and how that translates in turn to your role.
  • Align to the strategic objectives and success factors of your Leader. Understand the short medium and long term priorities of your leader and use this information to support your activities e.g. to prioritise your leaders diary, workload and wider activities.
  • Schedule regular check ins with your Leader to enable you to respond to short term/ acute need. Schedule review of longer term objectives on a less frequent basis

Daily Operations Management

  • Understand the business systems and processes aligned to your role.
  • Diary management for your Leader efficiently and effectively planning their time aligned to agreed priorities. Ensuring they are aware of key meetings and events, support them to be well prepared.
  • Support or develop presentations, reports and proposals as required.
  • Arranging meetings.
  • Arranging travel, visas and accommodation as required.
  • Management of agreed ad-hoc projects (single workstreams) aligned to the priorities of your Leader.
  • Reading, monitoring and selectively responding to Management emails.
  • Take accurate minutes at meetings and track actions.
  • Maintenance of any electronic filing systems/other filing systems e.g. database/marketing materials.
  • Completion of timesheets and expenses on behalf of your Leader.

Stakeholder Management & Engagement

  • Understand who the Key Stakeholders are that your Leader needs to engage with.
  • Understand what information your Leader requires for effective communication with Key Stakeholders and prepare this information in advance of meetings.
  • Act as a point of contact for Stakeholders who require to engage with your Leader. Support Stakeholders as required.
  • Proactively communicate key messages between your Leader and Key Stakeholders and vice versa.
  • Ensure key information is collated and shared with Key Stakeholders to support strategic objectives.
  • Identify any potential challenges or issues with communication of information, flag to your Leader and work with them to identify remedial measures.
  • Work as an integral part of the PA community to share information aligned to role to support the PA team and the leadership team understand progress against strategic priorities to enable efficient working.
  • Model and apply a one team approach with all colleages irrespective of geographic location.

Problem Solving

  • Apply a growth mindset to your role. Prempt what the requirements of your Leader may be and flag issues, where possible providing solutions.
  • Work independantly on initaives as directed by your Leader, develop solutions to drive efficent ways of working.
  • Embrace technology as appropriate to your role, for example in reporting, use of trackers etc. Share good practice with PA community.

SHEQ

  • Model H&S behaviours.
  • Identify opportunity for your Leader to embrace the H&S culture.
  • Share examples of good SHEQ behaviours to PA community.

Answer queries promptly as required

Qualifications & Experience:

  • Formal secretarial qualification desirable but not essential.
