SystmOne Administrator
Location: Russell House, Huddersfield
Hours: Full-time, 37.5 hours per week (Monday to Friday). Part-time will be considered for the right candidate.
Salary: £28,000

As our SystmOne Administrator, you’ll play a crucial role in helping our care services run efficiently and effectively. By managing and maintaining our patient data system (SystmOne), you’ll ensure that the care team has access to the information they need, when they need it, to deliver outstanding support to families. You’ll also contribute to wider data processes that help us evaluate, improve, and innovate our services.
This role sits at the heart of our care operation, acting as a key liaison between our clinical team, IT support, and external system partners. You’ll be the go-to person for everything SystmOne — ensuring our data is compliant, our records are up to date, and our users are confident in the system.
What success looks like in this role:
- Our SystmOne system is accurate, up to date, and secure.
- All new users are onboarded and supported with confidence.
- Reports and audits are delivered on time and to a high standard.
- The care team feels supported administratively and operationally.
- Continuous improvement and best practice in system use is embedded across the team.
Key Responsibilities
SystmOne Administration
- Manage user accounts, assigning appropriate access levels and regularly reviewing inactive users.
- Train new users and act as the main point of contact for all SystmOne-related support.
- Work with the Quality & Safety Officer to support audits, including medication and compliance checks.
- Create and manage batch reports to support regular data analysis and end-of-month reporting.
- Develop and refine clinical templates and workflows to improve system efficiency.
- Monitor and investigate opportunities to enhance the functionality and value of SystmOne.
- Ensure all data and system processes meet GDPR and information governance standards.
- Collaborate with system vendors and internal IT teams to ensure smooth system operation.
Care Team Administration
- Provide administrative support for clinical forums, referral panels, and appointment scheduling.
- Support payroll processes relating to on-call, enhanced and bank hours.
- Assist with preparing documentation for audits, inspections, and service reviews.
- Support the broader care team with ad-hoc administrative duties as required.
Person Specification
Essential Skills and Experience
- Strong working knowledge of SystmOne, including reporting and clinical templates.
- Experience working in a healthcare or clinical environment.
- Confidence in training and supporting users with varying levels of digital ability.
- Sound understanding of GDPR, data protection and audit compliance.
- Strong communication and interpersonal skills — able to work across departments with tact and clarity.
- Excellent time management and attention to detail.
- A proactive and problem-solving mindset with a drive for continuous improvement.
Desirable
- Experience contributing to digital transformation or data-led projects.
- Experience with system integration or interoperability.
- Project Management training or qualification.
Education
- Minimum 4 GCSEs (Grade C or above), or equivalent.
- Relevant IT or administration qualifications are desirable.
