Commercial Assistant Business Unit: 5038 - Eurovia Specialist Treatments (EST) Location: Gloucester



Job Role To provide commercial support and keep accurate digital records for all contracts, working with the EST Commercial Manager, Quantity Surveyors, and Contracts Managers.


Duties
  • Accurate checking and inputting of site designs and laying record data into backing sheets for applications and invoices; with attention to exact site measures, materials, daily site conditions, changes to the works/downtime records, updated programmes and any email notification details.
  • Setting up and maintaining secure digital eConnect file records for all contracts as required for substantiation of monthly applications, final account audits and KPIs.
  • Retrieval of specific site documents requested by clients for application and final account substantiation and audits on request.
  • Preparation and submission of quotations to clients.
  • Ensuring that all site records have been received weekly from site supervisors and contract data recorded for application deadlines within agreed timescales.
  • To liaise between supervisors and contracts managers when required to retrieve missing data or site records and keep a weekly track of site paperwork received/missing for review and action.
  • The setting up and updating of various trackers for target price and cost schedule contracts, including early warning registers, compensation events, applications and certifications.
  • Costing and submission of early warning and compensation event, or other notifications, as required. Knowledge of CEMAR desirable but not essential.
  • Ensuring that contract and supply chain contact details are kept up to date for commercial and accounts departments from the beginning of each year, throughout the operational season.
  • Preparation of pre-start meeting packs and attendance at meetings; recording minutes of meetings when required.
  • Collation of training records and insurances for all subcontractors; checking eSource approval.
  • Collation of environmental reporting data on a monthly basis for all subcontractors, and updating the RIO reporting platform with the data.
  • Gaining formal client approvals for all proposed subcontractors in advance of award of subcontracts.
  • Digital filing, correspondence or similar administrative tasks as required.
  • At all times to adhere to company procedures regarding Health & Safety and, where applicable, ensure all team members do likewise.
  • To actively foster a positive staff morale engaging in CSR days and office initiatives



Person Specification
  • A good team player, positive, self-motivated, reliable, willing to learn and to pro-actively contribute to the ongoing success of commercial department.
  • Accurateness and attention to detail.
  • Excellent written and verbal communicator.
  • An enthusiastic and openminded approach that will support the development of our business.
  • Minimum 5 GCSEs at C Grade or above, to include English Language, Mathematics, and Science
  • Fully Proficient in the following MS Office applications: Word/Excel/Outlook/TEAMS
  • Experience or knowledge of SAP based systems, CEMAR, SharePoint, PowerBI, Power Apps, Adobe - desirable but not essential
  • Experience of NEC3/NEC4 - desirable but not essential

Hours: Full Time - 37.5 - Monday to Friday
