Purchasing Coordinator

Procurement

The procurement family drives value through strategic sourcing policy and practices, evaluation and selection of appropriate suppliers and ensuring responsible procurement practices across the Survitec group. They monitor and forecast changes in external source markets, identify critical materials and substitutes and develop material sourcing and contingency plans to support new product development and introduction

Job Summary

This role draws up purchase orders for procurement of materials and services. It compiles information and produces records and reports to support procurement and supplier analysis and decision making

Duties and responsibilities

  • Understands and applies Survitec purchasing processes to meet stakeholder needs and business requirements; seeks to improve processes in a controlled manner. Builds and maintains an understanding of regulation, governance and business best practice affecting purchasing decisions and processes
  • Identifies instances of non-compliance with Survitec’s policies and procedures and/or relevant regulatory codes and codes of conduct, reporting these and escalating issues as appropriate
  • Builds sound working relationships with allocated suppliers, ensuring buying is carried out within key supplier relationship terms. Contacts suppliers to schedule or expedite deliveries and resolve shortages, missed or late deliveries
  • Responds to customer and supplier inquiries about order status, changes or cancellation
  • Works with operations and procurement colleagues to improve quality of specifications and reduce purchasing cost
  • Collates and analyses data using a range of tools, methods and formats; organises and summarises findings using appropriate software and presenting findings to appropriate standards and formats using a variety of software applications and techniques
  • Works with procurement colleagues to understand and embed purchasing policy, strategy and processes
  • Checks shipments to ensure orders have been fulfilled accurately and meet specifications; compares supplier quotes and bills to ensure accuracy and approves bills for payment
  • Uses approved supplier lists to compare prices, specifications and delivery dates to determine the best bid among potential suppliers. Prepares purchase orders and other supplier communications, ensuring all Survitec systems are updated to ensure accurate tracking of spend
  • Develops an understanding of overall materials usage patterns, providing information and recommendations to operations and procurement colleagues to increase orders appropriately to meet customer demand
  • Utilises the central preferred supplier database, ensuring accurate recording of delivery and quality specifications. Compiles spend reports accurately, providing operations and commodity managers with accurate and timely overviews of supplier spend and performance
  • Resolves queries from internal customers or external suppliers, providing information on processes and related policies, escalating as needed to resolve complex issues

Experience and qualification

Educated to High School / Further Education College, with 2 A Levels or equivalent

1 – 3 years of general experience enables the role holder to deal with most situations

No formal managerial experience required for this role
