Position: Minor Civils Planner

Location: Millbrook Depot (Southampton, Hampshire)

Job Type: permanent, full time

Hours: Monday to Friday, 37.5 hours

Salary: Competitive, depending upon experience

About The Role

Due to continued growth and development, we are now looking for customer focused people to join us in our Utility Division, working on our Southern Water contract service to deliver real and effective solutions to waste-water network and drainage problems.

  • Project Planning & Development:
    • Develop comprehensive project plans for the installation, replacement, and maintenance of manhole covers and frames across utility projects, ensuring that all elements, including materials, resources, schedules, and milestones, are clearly outlined.
    • Coordinate with project managers and stakeholders to define project scope, objectives, timelines, and key deliverables, and ensure that the plans align with the overall project goals.
    • Ensure that the plans are kept up to date throughout the project lifecycle, including modifications and changes as the project progresses.
  • Coordination & Scheduling:
    • Work in close collaboration with project managers, site teams, subcontractors, and contractors to create accurate, realistic schedules and timelines for manhole cover and frame works.
    • Ensure that project schedules are regularly reviewed, updated, and communicated to all stakeholders to ensure alignment and to proactively identify potential risks or delays.
    • Manage the allocation of resources and the scheduling of works to optimise efficiency and ensure that all tasks are completed on time.
  • Material, Resource, and Equipment Management:
    • Oversee the procurement and delivery of materials, including manhole covers, frames, and other related components, ensuring that they meet the required specifications and are delivered to site as per project timelines.
    • Coordinate with suppliers and vendors to source and secure the correct materials and equipment, ensuring they are available when needed without delay.
    • Manage site logistics to ensure that all necessary resources are available on-site for the smooth execution of works, avoiding any disruptions to the project schedule.
  • Progress Monitoring & Issue Resolution:
    • Regularly monitor the progress of works on-site, ensuring that the installation, replacement, and maintenance of manhole covers and frames are carried out according to schedule and within budget.
    • Identify any issues or delays as early as possible and coordinate corrective actions with relevant stakeholders, including re-sequencing of tasks or reallocation of resources to minimise project disruption.
    • Conduct site visits and liaise with site supervisors and operatives to assess the progress and quality of work being carried out.
  • Project Tracking & Reporting:
    • Utilise planning software such as Big Change, or similar tools, to track project timelines, milestones, and deliverables, ensuring that the project progresses according to plan.
    • Maintain up-to-date records of project schedules, including any changes, delays, or adjustments, and ensure all stakeholders are informed of progress.
    • Prepare and deliver regular progress reports to senior management and stakeholders, highlighting key achievements, potential risks, and areas requiring attention.
  • Review of Technical Documentation:
    • Review and interpret technical drawings, specifications, and engineering documentation related to the installation, replacement, and maintenance of manhole covers and frames.
    • Ensure that all works are carried out in strict accordance with project requirements, industry standards, and local regulations, and highlight any potential issues or discrepancies in documentation that may impact the project.
    • Ensure that any changes to design or specifications are reflected in the planning documentation and communicated to relevant parties.
  • Stakeholder Communication & Collaboration:
    • Act as the central point of contact for stakeholders involved in the manhole cover and frame works, including clients, subcontractors, engineers, and suppliers.
    • Attend regular planning meetings with project teams, clients, and contractors to review progress, discuss issues, and ensure effective communication between all parties.
    • Maintain strong relationships with all stakeholders, fostering a collaborative and transparent working environment.
  • Health, Safety, and Environmental Compliance:
    • Ensure that all planning and project activities for manhole cover works meet required safety standards and environmental regulations.
    • Collaborate with the safety team to identify potential risks and hazards and develop mitigation strategies.
    • Ensure that safety protocols are followed during the execution of works, including proper PPE (Personal Protective Equipment), traffic management, and safe handling of materials.
    • Ensure all works comply with environmental regulations, especially in relation to the management of waste and pollution control.
  • Risk Management & Mitigation:
    • Support the development and implementation of risk assessments for all aspects of manhole cover works, from installation through to maintenance, identifying potential risks and suggesting mitigation strategies.
    • Continuously monitor risks and provide proactive solutions to prevent delays or cost overruns, including identifying opportunities for efficiency improvements.
    • Ensure all works are carried out with due consideration to the potential impact on surrounding infrastructure, public access, and environmental factors.
  • Documentation and Reporting:
    • Assist in the preparation of progress reports, presentations, and any other documentation required for senior management, clients, or stakeholders, ensuring all documents are clear, accurate, and delivered on time.
    • Maintain thorough records of all project activities, including meeting notes, change orders, and quality assurance documentation.
    • Ensure that all project data, including schedules, resources, and materials, are accurately recorded and archived.
    • Be aware of all Lane Group policies and your responsibilities towards them.
