We’re looking for a Depot administrator to join our fast-growing team in Dudley, West Midlands

Role Purpose

This is your chance to make an impact by helping to continuously improve and shape our client’s customer experience and where your contributions will be valued and recognised.

As a Depot Administrator, you will be responsible for the efficient operation, maintenance tracking, and compliance of the company's vehicle fleet, supporting business operation and minimising vehicle downtime. You will also ensure that all penalties and fines are processed with in the correct timeframe to ensure any financial exposure to the business is controlled.

Additionally, you will coordinate with customers, third party engineers, recovery agents and general visitors to ensure that their visit is smooth and complies with GDPR and company protocols. Working closely with the fleet & salvage team you’ll play a crucial role in continued success in the fleet team.

Key Accountabilities

  • Process and respond to fines received for hire bikes, ensuring timely resolution and accurate record-keeping.
  • Scan, file, and maintain V5 vehicle registration documents in an organized and secure manner.
  • Ensure all fleet vehicles are compliant with tax and MOT regulations, maintaining up-to-date records and scheduling renewals as needed.
  • Monitor vehicle downtime and usage patterns to ensure optimal deployment and utilization of the fleet.
  • Assist in generating reports related to fines, compliance, and fleet performance for internal review.
  • Handle incoming calls and emails in a professional and timely manner, providing support and information to internal and external stakeholders.
  • Other critical elements of this role include the ability to prioritise effectively as
  • well as to identify and champion business improvement opportunities, removing
  • any barriers to great performance.
  • Build and maintain excellent, value-adding working relationships with
  • immediate colleagues across the Lexham Group to explore new ideas and
  • developments alongside sharing best practice.
  • Any other duties commensurate with the level of responsibility of this role.

  • Although a credit hire/claims background would be great, if you have a proven passion for customer service and the drive to learn we can help with the rest.
